Welcome to Supervisia. These Terms of Service (“Terms”) govern your access to and use of the Supervisia platform, including the website at supervisia.ai and any related services (collectively, the “Service”). Supervisia is operated from England and Wales.
By creating an account or using the Service, you agree to be bound by these Terms. If you do not agree, please do not use the Service.
Supervisia is operated by Supervisia Ltd, a private limited company registered in England and Wales (Company No. 17018774), with registered office at 167-169 Great Portland Street, 5th Floor, London, W1W 5PF. ICO registration: [ICO_REF_PLACEHOLDER].
1. Acceptance of Terms
By accessing or using Supervisia, you confirm that you are at least 18 years old, that you have the legal capacity to enter into a binding contract, and that you accept these Terms in full. If you are accepting these Terms on behalf of an organisation, you confirm that you are authorised to bind that organisation to these Terms.
2. Description of Service
Supervisia is a clinical supervision and training platform designed for BABCP-accredited CBT therapists, supervisors, supervisees and trainees. The Service includes, but is not limited to:
- Supervision record management and BABCP-formatted logbook exports.
- Audio recording and transcription of supervision sessions.
- AI-assisted features such as draft report generation, form-fill from transcripts, session summaries and competency reporting.
- Voice-based practice tools using simulated AI clients for clinical skills development and continuing professional development (CPD).
- Tools for managing supervisees, assigning practice drills and tracking hours.
Specific features available to you depend on your subscription tier and any invitations from a paying supervisor. Features may evolve over time.
3. Account Registration
Authentication is provided by our third-party authentication partner, Clerk. By registering, you agree to:
- Provide accurate, current and complete information about yourself.
- Keep your login credentials secure and confidential.
- Notify us promptly at hello@supervisia.ai of any unauthorised use of your account.
- Be responsible for all activity that occurs under your account.
You may not share your account credentials with any other person. Each user of the Service must have their own account.
4. Subscription and Payment
Supervisia offers a free tier as well as paid subscription tiers. Paid subscriptions are billed via Stripe, our third-party payment processor. By subscribing, you authorise Supervisia (via Stripe) to charge your chosen payment method on a recurring basis until you cancel.
Billing cycle
Subscriptions are billed monthly or annually in advance, depending on the plan selected. You will be charged in GBP unless otherwise stated.
Cancellation
You may cancel your subscription at any time from your account settings. Cancellation takes effect at the end of your current billing period; you will retain access to paid features until that date. We do not pro-rate refunds for partial periods following cancellation, except as set out below.
30-day money-back guarantee
If you are a new subscriber and you are not satisfied with Supervisia, you may request a full refund of your first subscription payment within 30 days of that initial charge by emailing hello@supervisia.ai. This applies to your first paid subscription only and does not extend to renewals or subsequent subscriptions.
Price changes
We may change subscription prices from time to time. Any price change will not affect your current billing cycle. We will give you at least 30 days’ notice by email before any price increase takes effect on your subscription.
5. Fair Use Policy
Where Supervisia describes features such as voice practice as “unlimited” or includes generous monthly allowances, this access is provided on the basis of fair, genuine human use for clinical practice, training and CPD. The Service is intended for individual practitioner use within the normal course of professional development and supervision.
The following are prohibited and constitute a breach of these Terms:
- Automated, scripted, robotic or bulk usage of voice features or AI features.
- Using the Service to train, fine-tune or evaluate any third-party model or product.
- Re-selling, sub-licensing or otherwise commercialising Service outputs at scale.
- Sharing a single account between multiple practitioners to circumvent per-user allowances.
- Continuously running voice sessions in the background, idle-looping, or generating artificial activity to inflate usage.
- Any usage pattern that materially exceeds typical human practitioner usage and that cannot be reasonably explained by genuine clinical practice.
Supervisia reserves the right to monitor aggregate usage, and to throttle, rate-limit, suspend or terminate any account that exhibits non-human or abusive usage patterns. We will, where reasonably possible, contact you before taking such action so that you have an opportunity to explain your usage.
6. Data and Privacy
Our handling of your personal data is described in our Privacy Policy, which forms part of these Terms. In summary:
- You own the supervision records, notes, transcripts and recordings you create.
- We process your data on your behalf in order to deliver the Service to you and in accordance with our Privacy Policy.
- We do not sell your personal data, and we do not use your clinical content to train third-party AI models.
7. Clinical Data
Supervision notes, audio recordings and transcripts handled through Supervisia may contain sensitive clinical information, including discussion of supervisees’ clients. You agree that:
- You are responsible for obtaining all appropriate consents from your supervisees (and, where relevant, their clients) for the recording, storage and processing of supervision content through Supervisia.
- You must not upload directly identifiable client information — including full names, dates of birth, NHS numbers, addresses or any other information that would identify a specific client — into Supervisia. Use case initials, pseudonyms or codes instead.
- You will comply with your own professional, regulatory, ethical and legal obligations (including, where applicable, those of BABCP, the BPS, the HCPC, the NHS, and the UK GDPR / Data Protection Act 2018).
- You acknowledge that, when discussing clients within supervision content uploaded to Supervisia, Supervisia acts as a data processor on your instructions.
Misuse of the Service to upload identifiable client records is a serious breach of these Terms and may result in immediate suspension of your account.
8. AI Features
Supervisia uses third-party AI providers (such as Anthropic, OpenAI and ElevenLabs) to deliver features including transcription, draft report writing, summarisation and voice practice. AI-generated content is provided as a drafting aid only.
You agree that:
- You are solely responsible for reviewing, verifying, correcting and approving any AI-generated output before relying on it, sharing it, submitting it for accreditation purposes, or using it in any professional capacity.
- AI-generated content may contain errors, omissions, hallucinations or inappropriate content, and must not be treated as a substitute for your own professional clinical judgement.
- Supervisia is not a clinical decision-making tool, a diagnostic instrument, or a replacement for qualified human supervision.
- AI-simulated clients used for voice practice are entirely fictional. Any resemblance to real persons is coincidental.
9. Intellectual Property
Supervisia, including its software, design, branding, content, vignette library and AI configurations, is owned by Supervisia and protected by intellectual property laws. We grant you a limited, non-exclusive, non-transferable, revocable licence to use the Service for its intended purpose in accordance with these Terms.
You retain ownership of the supervision records, notes, audio recordings and other content that you upload or create within the Service (“Your Content”). You grant Supervisia a limited licence to host, process, transmit and display Your Content solely for the purpose of providing the Service to you.
10. Acceptable Use
You agree that you will not:
- Use the Service for any unlawful, fraudulent, harmful or harassing purpose.
- Share, sell, lend or transfer your account credentials.
- Scrape, crawl, mirror, reverse-engineer, decompile or otherwise extract data from the Service other than through features explicitly provided for that purpose.
- Attempt to access areas of the Service that you are not authorised to access, or interfere with the security or integrity of the Service.
- Upload malware, viruses or other harmful code.
- Use the Service to generate, store or distribute content that is unlawful, defamatory, obscene, or that infringes third-party rights.
11. Termination
You may stop using the Service and close your account at any time from your account settings. We may suspend or terminate your access to the Service if you materially breach these Terms, or if we are required to do so for legal, security or operational reasons.
Following termination, your data will remain available for export for 30 days. After this period, your account data will be deleted in accordance with our Privacy Policy, except where we are required to retain certain information by law. You can request an export of your data at any time by contacting hello@supervisia.ai.
12. Limitation of Liability
To the maximum extent permitted by law, Supervisia, its directors, employees and contractors shall not be liable for any indirect, incidental, consequential, special or punitive damages, or for any loss of profits, revenue, data, goodwill or business opportunities, arising out of or in connection with your use of the Service.
Our total aggregate liability arising under or in connection with these Terms, whether in contract, tort (including negligence) or otherwise, shall not exceed the total amount you have paid to Supervisia for the Service in the 12 months immediately preceding the event giving rise to the claim.
Nothing in these Terms excludes or limits any liability that cannot be excluded or limited under the laws of England and Wales, including liability for death or personal injury caused by negligence, or for fraud or fraudulent misrepresentation.
13. Governing Law
These Terms, and any dispute or claim arising out of or in connection with them or their subject matter, are governed by and construed in accordance with the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction to settle any such dispute or claim.
14. Changes to Terms
We may update these Terms from time to time. Where changes are minor (for example, clarifications or typographical corrections), we will update the “Last updated” date above. For any material changes (for example, changes to your rights, obligations or the nature of the Service), we will give you at least 30 days’ notice by email before the changes take effect. Continued use of the Service after the effective date constitutes acceptance of the updated Terms.
